Privacy Notice – Marchwell Inventories

The General Data Protection Regulation (GDPR) is a European Union (EU) privacy law enforced May 25, 2018. This law regulates how organisations treat or use the personal data of people located in the EU.
Part of this law requires that EU citizens have the right to ask about how their personal data is stored and used. Your data privacy is a top priority and the protection of data is at the centre of everything we do. As part of the legislation under the General Data Protection Regulation (GDPR), we want to reassure you that:

We value privacy and are committed to protecting your personal data and your privacy by informing you about the way we use, store, process and protect personal data entrusted to us.

- We do not sell your data or pass your details on to any third parties
- We only use your information for the purposes that you disclosed them to us
- We do not retain more personal information than is necessary

What data do we collect? 
Property Addresses, Landlord Names, Tenant Names applicable to individual tenancies. Email addresses and telephone numbers may also be recorded.

Who is it collected by? 
The Letting Agent / Landlord. (Data Controller) and passed to us as the Data Handler.

How is it being used?  
For compilation and identification of inventory, check in, check out and inspection documents and shared by email with parties who have legitimate interest as noted below.

Who will we share it with? 
The instructing parties - Agents, Landlords and Tenants and any other party as instructed by the Data Controller. We may also share this information with Deposit Schemes / third parties with legitimate need or an association / authority related to a dispute.

Where is it held? 
On non -network devices and external backup drives – access password protected.

How long do we hold the data? 
For as long as we have a business relationship. After that ends we will keep it where it may be needed for legitimate purposes e.g. to help us respond to queries or complaints, or for other reasons e.g. dispute services and responding to requests from regulators.

What is the legal basis for processing your data? 
- Consent from LLord / Tenant / Agent
- Contract with Client / Agent
- Legitimate Interest

Your rights
You have a number of rights relating to your information e.g. to see what we hold, to ask us to share it with another party, ask is to update incorrect or incomplete details, to object to or restrict processing of it, to make a complaint etc.
